Large Download Requests

For policy-compliant summary statistics files exceeding the size allowed by the egress alert policy, you can request a temporary exemption by submitting a Large Download Exemption Request.  

A request form must include a summary of data to be downloaded, as well as confirmation that no participant-level data is being downloaded from the Researcher Workbench, and the download is in compliance with the Data User Code of Conduct and Data and Statistics Dissemination Policy. Any requests to download participant-level data will be denied. 

You can select a preferred start date for the large download window. If a preferred date is not indicated, your large download window will begin on the Monday following your approved request. Large download windows will always begin at 12:00 AM CT, and last for 48 hours. 

If your request is approved, you will receive an email specifying the approved timeframe for your large download window. Requests are granted for a two-day period, and are approved by workspace and by user. If additional time is required beyond the approved window, a new request must be submitted for review. Multiple requests may be submitted concurrently to support separate download windows.

Additional Assistance Now Available for Downloads:

The VUMC Integrated Data Access and Service Core (IDASC) team is piloting a new process for assisting researchers with downloads of large files from the Workbench. If you have a very large amount of data to download and/or are not able to download files yourself, the IDASC team can download your data for you. Utilizing the IDASC team for your large download will involve signing a contract and paying the costs associated with the download. If you're interested in having your data downloaded by IDASC, please indicate your interest in the Large Download Exemption Request form for the question “Are you interested in having the VUMC IDASC team assist with this download?”. Once approved, the IDASC team will reach out to you with more information about the contracting process.
