Reviewing Participants with the Cohort Review

Note: Reviewing participants with the cohort review function is optional. Cohort review allows you to confirm your inclusion and exclusion criteria are accurate from the Cohort Builder.

With the cohort review, you can create a review set of your cohort that includes a snapshot of the participant-level data to verify that the criteria you chose produced the result you expected.

For example, you built a cohort of participants that have two mentions of the condition ‘recurrent major depression’ between 30 and 180 days. In cohort review, you can verify that your participants have the condition within your specified date range.

To create a review set

  1. Click on “Create review sets.”

    On the Cohort saved successfully screen, you have three options for what to do next. You can choose to create another cohort, create a review set, and create a dataset. For reviewing participants with the cohort review, you will click the blue create review set button at the bottom of the center card. After clicking “Create review sets,” you will be taken to the review sets for your cohort page.

  2. Click “white plus sign on top of a dark blue circle.”

    The white plus sign on top of a dark blue circle is located to the right of the “review sets” heading. After you click the plus sign, a pop-up will appear with the heading “Create Review Set.” The pop-up will request you name your cohort review and enter a number of participants to include in your cohort review.

  3. Name your review set and enter the number of participants you would like to review.

    In the pop-up, the “Create set” button in the bottom right of the pop-up is grayed out until you name and enter the number of participants for your cohort review set. After you name and enter the number of participants, the “create set” button will no longer be grayed out.

  4. Click “Create set.”

    After you click create set, your review set will display on the screen with the selected number of participants in a row format. You can explore each participant by clicking on a participant.

To review the set

  1. Click on a participant to review an individual participant row.

    When you click on an individual participant row, you will be taken to a summary screen related to the specific participant you clicked on, including the various events, conditions, procedures, drugs, etc. related to the participant’s record.

  2. Review the available data within the participant's record.

    Within the participant summary page of the cohort review, you can add individual annotations to each participant record with the white notepad with a pencil icon on the right navigation bar.

To add individual annotations

Within your review set, you can mark individual records and make annotations while you review.

  1. Within a participant record, click “white notepad with a pencil icon.”

    After clicking the white notepad with a pencil icon on the right navigation bar, a panel will appear.

  2. Information about the participant, including ID, date of birth, gender, race, ethnicity, and deceased status, will appear in the pop-up.

    On the pop-up, there is a heading “Participant Status” with a drop-down that includes the following options: excluded, included, and needs further review.

  3. You can mark individual participants as “Excluded,” “Included,” or “Needs Further Review.”

    Marking a participant as “Excluded” will exclude them from the cohort. Marking a participant as “Included” will ensure inclusion within your cohort. Marking a participant as “Needs Further Review” will mark the participant for you to easily access for additional review.

To add review-wide annotations

Within your review set, you can add review-wide annotations while you review.

  1. Click “light blue plus sign within a light blue circle.”

    The light blue plus sign in the light blue circle is to the right of the “Annotations” heading. When you click the light blue plus sign, a pop-up will appear titled “Create a Review-Wide Annotation Field” with a drop-down for the type of annotation and then a name field.

  2. Select the type of annotation you would like to make: free text, dropdown list, date, true/false checkbox, or numeric field.

    After you select your type of annotation from the drop-down, you can enter a name for the annotation. The “Create” button will be grayed out until you select the type of annotation from the drop-down and name the annotation.

  3.  Click “Create” to leave your annotation in your review set.
